Payroll Sickness Guide

The sickness entitlement for all staff is based on a 7 day week so it creates uniformity for part-time and full-time staff when it comes to sickness entitlement.

In SIMS, only the start date and end date are transferred over to SAP, so in the working days lost you can enter the actual working days lost, which will be used for Workforce Census purposes.

Statutory Sick Pay starts on the fourth day, therefore please apply the following rules when entering sickness:


Full Time Employees

If an employee is off sick during the week and returned the following Monday, the rules are:

Sickness    Enter Start Date on SIMS   Enter End Date on SIMS                        
Monday to Friday                         Monday Sunday

Tuesday to Friday 

Tuesday  Sunday 
Wednesday to Friday Wednesday Friday
Thursday to Friday Thursday Friday
Friday only  Friday Friday

If the employee has been off for more than a week and returns to work on a Monday, you need to always enter the end date as the Sunday.


Part Time Employees

For part time employees use the same rules as above.  However, if they only work part of the week, you need to ask if they were fit to return earlier than the Monday, for example:-

Employee works Mondays, Tuesdays and Wednesdays

Employee is off sick on Monday and does not return until the following Monday.  If they were ‘not’ fit to return on the Thursday (their non-working day), you need to enter Sunday as the end date.  If they were fit to return on the Thursday, you need to enter Thursday as the end date.

If the employee has been off for more than a week and returns to work on a Monday, you need to enter the start date and end date for the whole period, and the end date should be Sunday.
